Doctoral Thesis Review Procedure (2011 Autumn)

1. Determination of doctoral thesis titles
  • Students consult with their research advisors or sub research advisors to determine thesis titles.
2. Submission of thesis titles and establishment of the Thesis Review Committee
  • Submission period ─── by Friday, February 25, 2011
  • To whom to submit ─── the Dean of the Graduate School (by way of the Student Affairs Division)
  • Doctoral thesis titles
    • The chief referee of the Thesis Review Committee submits a written report of a doctoral thesis title with his signature.

  • Doctoral Thesis Review Committee
    • Members ─── one chief referee, and at least three co-referees
    • The chief referee must be a Doctoral "Maru Go" faculty member.
    • At least two referees must be Doctoral "Maru Go" faculty members.

3. Submission of the documents for the Doctoral Thesis Preliminary Review
  • Submission period ─── by Monday, May 2, 2011
  • Number of copies to be submitted ─── one to each referee, and eight to the Student Affairs Division
  • Documents to be submitted
    1. Request for Doctoral Thesis Preliminary Review PDF pdficon_s / Word wordicon_s
    2. Thesis abstract (within five A4 sized pages)
    3. Curriculum Vitae
    4. List of publications
    5. Copies, etc. of these research papers
    6. Completed thesis
      * The thesis must be prepared in English. There is no particular requirement regarding the number of pages for the thesis.
    7. Record on a Change of a Doctoral Thesis Title PDF pdficon_s / Word wordicon_s
      * If it is necessary to change the authorized thesis title, a "Record on a Change of a Doctoral Thesis Title" must be submitted. No other changes shall be accepted after this change. However, changes in thesis shall be accepted only if they are recognized by the Graduate School Academic Affairs Committee and by the Garaduate School Faculty Assembly as minor changes.
4. Doctoral Thesis Preliminary Review
  • The chief referee and co-referees must be present at the preliminary review.
  • Period of the preliminary review ─── Friday, May 6 - Wednesday, May 11, 2011
  • Style of the preliminary review
    • Oral presentation of about one hour, followed by an oral examination of about one hour per student
    • Presentations must be done by students in English.
  • Review items
    • Research progress
    • Published papers, etc. (Students shall be required to submit one or more papers to major academic journals based on the achievements during the enrollment in the Doctoral Program prior to the preliminary thesis review. Papers must be those to which the student is the primary contributor.)
    • Basic scholastic aptitude
    • English language competency
5. Judgment regarding the Doctoral Thesis Preliminary Review
  • In order for students to pass the preliminary thesis review, they must obtain passing grades from at least two thirds of the Doctoral Thesis Review Committee members.
    Pass
    • Preparation for the final thesis review has been approved.
    • Successful students will be informed of points that have to be solved by the time of the final thesis review.
    Fail
    • Preparation for the final thesis review has NOT been approved.
    • Unsuccessful students will be advised on points for improvement in future research.
    • Those who fail are allowed to go through the preliminary review again at least six months later, according to the schedule for the doctoral thesis preliminary thesis review.
  • The Doctoral Thesis Review Committee reports to the Dean of the Graduate School (Student Affairs Division), in writing, of review results including points advised by referees. (by Friday, May 13, 2011)

  • The review results are to be deliberated and authorized by the Graduate School Academic Affairs Committee
  • The review results are to be notified to students by way of chief referees.
6. Submission of the documents for the Doctoral Thesis Final Review
  • Submission period ─── by Friday, June 24, 2011
  • Number of copies to be submitted ─── one to each referee, and eight to the Student Affairs Division
  • Documents to be submitted

    2. Thesis abstract (within five A4 sized pages)
    3. List of publications
    4. Answers to matters pointed out at the preliminary thesis review
    5. Final draft of the doctoral thesis
      * The thesis must be prepared in English. There is no particular requirement regarding the number of pages for theses.
    6. Other materials, etc.
7. Doctoral Thesis Final Review
  • The chief referee and co-referees must be present at the final review.
  • Period for the final review ─── Thursday, June 30 - Tuesday, July 5, 2011
  • Style of the final review
    • Oral presentation of about one hour, followed by an oral examination of about one hour per student
    • Presentations must be done in English.
  • Review items
    • Details of the thesis
    • Whether the student has (a) paper(s) accepted by (an) academic journal(s) or not
      (Satisfaction of one of the following shall be a requirement for conferment of a Doctoral degree: ① the student has two or more papers accepted by (an) academic journal(s) prior to the final thesis review, at least one of which must have been accepted by a journal which has been recognized as a major journal, or ② the student has one paper accepted by a journal recognized as major, and has at least 2 refereed papers which have been published in proceedings of (a) major international conference(s), of which content differ from the journal paper. In both cases, the paper which has been accepted by a journal recognized as major must contain the main part of the doctoral thesis. The papers must be those to which the student is the primary contributor.)

8. Judgment regarding the Doctoral Thesis Final Review
  • In order for students to pass the doctoral thesis final review, they must obtain passing grades from at least two thirds of the Doctoral Thesis Review Committee.
    Pass
    • Successful students will be informed of points that need to be modified if any.
    Fail
    • Unsuccessful students will be informed of matters pointed out at the final review.
    • Those who fail are allowed to go through the final review again at least 6 months later, according to the schedule for the doctoral thesis final review.
  • The Doctoral Thesis Review Committee reports to the Dean of the Graduate School (Student Affairs Division), in writing, of review results including points advised by referees. (by Monday, July 11, 2011)
    • Report on Results Regarding the Final Doctoral Thesis Review PDF pdficon_s / Word wordicon_s
  • The final review results are to be deliberated on and authorized by the Graduate School Faculty Assembly, conditional to agreement by at least two thirds of the members in attendance at the Graduate School Faculty Assembly meeting satisfying the quorum of two-thirds of all members.
  • The chief referees of the Thesis Review Committees shall notify relevant students of review results.
9. Submission of finalized theses and their abstracts
  • Submission deadline ─── by Friday, September 9, 2011
  • To whom to submit ─── the Dean of the Graduate School (Student Affairs Division) through the chief referee
  • Style of the thesis abstract ─── The abstract must be prepared in English. The number of pages shall be no more than four pages.
  • Submission of an electronic version of the file ─── copy the electronic file of the final manuscript in PDF and/or PS format to the designated directory.
    Please make a directory of your ID in /home/committee/aac/DThesis2011-Sep/ and store the electronic file of your thesis in it.

  • Those who are unable to submit finalized theses are required to postpone conferment of the academic degree accordingly.

10. Thesis Presentation

  • The presentation meeting is open not only to those related to the University of Aizu, but also to the general public.
11. Conferment of Academic Degrees
  • Submission of an Application Form for the Academic Degree
    Students who intend to be conferred an academic degree are required to submit the form, to the University President when they submit documents for the finalized theses (by Friday, September 9, 2011).
